Booking an artist for your event: how to choose, negotiate and not overpay
A corporate party, a restaurant opening or a big concert — how to pick an artist for your audience and budget and avoid typical mistakes.

1. Start with the audience, not the name
The most popular artist isn’t always the best choice. What matters is who your guests are: age, music taste, event format. An IT company party, a wedding and a restaurant opening need different performers, even with the same budget.
2. Define the format and purpose of the performance
- Headliner — the main reason to come, drives ticket sales and media attention.
- Background performance — creates atmosphere without taking attention away from networking.
- Show programme — the artist, host, lighting and stage design combined into one story.
3. Budget for more than the fee
The cost of an artist is the fee plus the technical and hospitality rider: sound, light, stage, transfers, accommodation, catering for the crew. Ask for the rider before confirming the date — and avoid unpleasant surprises.
4. Book in advance
The best dates, especially in December and wedding season, are taken months ahead. The earlier you reach out, the wider the choice of artists and the easier it is to agree on terms.
5. Put everything in the contract
Performance length, set list, timing, rescheduling and cancellation terms, venue requirements, photo and video rights — all of it must be written down. Verbal agreements are the most common cause of conflict.
6. Think about promotion
A well-known artist’s performance is a strong news hook. Social media announcements, paid ads, collaborations and PR help sell tickets or gain media impact, and content from the event keeps working for the brand long after it ends.
